Welcome to Open Limo ("we," "us," or "our"). We are committed to protecting the privacy and security of your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform, website, mobile applications, and related services (collectively, the "Service").

This policy applies to users and customers in the United States, Canada, the European Union, and the United Kingdom. By using our Service, you acknowledge that you have read and understood this Privacy Policy.

2. Information We Collect

Information You Provide Directly

When you create an account, request a demo, submit a contact form, or use our Service, we may collect:

  • Name and contact information (email address, phone number)
  • Company name and business details
  • Fleet size and operational information
  • Account credentials (email and password)
  • Billing and payment information (processed by third-party payment providers)
  • Any other information you choose to provide through forms or communications

Information Collected Automatically

When you access our Service, we may automatically collect:

  • IP address and approximate geographic location
  • Browser type and version
  • Operating system
  • Pages visited and referring URL
  • Date and time of access
  • Device identifiers
  • If you accept analytics, anonymous lead-form views, starts, and successful-submission status; submitted form values and direct identifiers are excluded from Analytics

Information from Forms

Our Service includes several forms that collect personal information:

  • Contact form: name, email, company name, fleet size, and optional message
  • Request Demo form: name, email, company name, fleet size, and optional message
  • Sign Up form: company name, email, and fleet size

3. How We Use Your Information

We use the information we collect for the following purposes:

  • Provide and maintain the Service: operate our platform, process transactions, and manage your account
  • Process demo requests: respond to inquiries and schedule product demonstrations
  • Communicate with you: send service-related notifications, updates, and marketing communications (with your consent where required)
  • Improve the platform: analyze usage patterns to enhance features, performance, and user experience
  • Customer support: respond to your questions, troubleshoot issues, and provide technical assistance
  • Legal compliance: comply with applicable laws, regulations, and legal processes
  • Security: detect, prevent, and address fraud, abuse, and security issues

5. Data Sharing and Third Parties

We do not sell, rent, or trade your personal information to third parties. We may share your information with the following categories of service providers who assist us in operating our business:

  • Hosting and infrastructure providers: to host and deliver the Service
  • Email service providers: to send transactional and marketing communications
  • Payment processor: Stripe, to process payments securely
  • Helpdesk provider: Front, to manage and respond to form submissions and support inquiries
  • Spam prevention: Google reCAPTCHA, to protect our forms from automated abuse. Google may collect IP address and browser data when you interact with reCAPTCHA. See Google's Privacy Policy
  • Site measurement: Google Analytics, to measure page visits and basic engagement and, after analytics acceptance, anonymous lead-form views, starts, and confirmed successful submissions. We do not send submitted names, email addresses, company details, fleet sizes, messages, reCAPTCHA tokens, or hashed identifiers to Analytics. We use Google Consent Mode v2 and configure advertising consent signals as denied. See Google's Privacy Policy and Google Analytics Opt-out Browser Add-on.

All third-party service providers are contractually obligated to protect your information and may only use it for the purposes we specify.

We may also disclose your information if required by law, regulation, legal process, or governmental request, or to protect our rights, property, or safety.

6. SMS / Text Message Communications

OpenLimo (operated by Limolabs LLC, d/b/a OpenLimo) sends transactional text messages to customers and drivers who opt in. Messages may include: account/phone verification codes, booking confirmations, driver and vehicle details, driver en-route/ETA and arrival notifications, and trip status updates; drivers may receive ride-assignment messages. We do not send marketing texts under this program.

Consent (opt-in). We send SMS only after you opt in: online, by entering your mobile number and checking the SMS consent box when booking; or by phone, by giving verbal agreement to our representative, which we record. Consent is optional and is not a condition of using any OpenLimo service.

  • Frequency. Message frequency varies based on your bookings.
  • Cost. Message and data rates may apply.
  • Opt-out. Reply STOP to any message at any time, adjust your account notification settings, use the web portal, or contact us at info@open.limo. We will send one confirmation and then stop.
  • Help. Reply HELP, or contact info@open.limo.
  • Carrier disclaimer. Mobile carriers are not liable for delayed or undelivered messages.

Mobile information sharing. We do not sell, rent, or share your mobile phone number, SMS opt-in/consent data, or text-messaging originator opt-in information with any third parties or affiliates for their marketing or promotional purposes. Phone numbers and consent records collected for SMS are used solely to deliver these messages and to keep a record of your consent. Any sharing with service providers (e.g., our SMS delivery provider) is strictly to operate the messaging program on our behalf.

7. International Data Transfers

Your information may be transferred to and processed in the United States or other countries where our service providers operate. These countries may have data protection laws that differ from those in your jurisdiction.

If you are located in the EEA or UK, we ensure that any transfer of your personal data to countries outside the EEA/UK is protected by appropriate safeguards, including:

  • Standard Contractual Clauses (SCCs) approved by the European Commission
  • The UK International Data Transfer Agreement or Addendum, as applicable
  • Any other valid transfer mechanism under applicable data protection law

8. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you with the Service. After account closure, we may retain certain information for a reasonable period to:

  • Comply with legal obligations (e.g., tax and accounting requirements)
  • Resolve disputes and enforce our agreements
  • Prevent fraud and abuse

You may request deletion of your personal data at any time by contacting us at info@open.limo. We will respond to your request within the timeframe required by applicable law.

Google Analytics user-level and event-level data is configured for a retention period of 2 months. Aggregated reporting that does not identify an individual visitor may be retained for longer. Analytics cookies, when accepted, expire no later than 390 days after the most recent consented visit.

9. Your Privacy Rights

Depending on your location, you may have specific rights regarding your personal information. Below we outline the rights available under each applicable jurisdiction.

European Union and United Kingdom (GDPR / UK GDPR)

If you are located in the EEA or UK, you have the following rights:

  • Right of access: request a copy of the personal data we hold about you
  • Right to rectification: request correction of inaccurate or incomplete data
  • Right to erasure: request deletion of your personal data ("right to be forgotten")
  • Right to restriction: request that we restrict processing of your data in certain circumstances

California, United States (CCPA/CPRA)

Canada (PIPEDA)

If you are a Canadian resident, you have the following rights under the Personal Information Protection and Electronic Documents Act:

  • Right to access: request access to the personal information we hold about you
  • Right to correction: request correction of your personal information
  • Right to withdraw consent: withdraw consent to the collection, use, or disclosure of your personal information, subject to legal or contractual restrictions
  • Right to complain: file a complaint with the Office of the Privacy Commissioner of Canada

10. Cookies and Tracking

We use the following browser storage and measurement technologies:

  • localStorage: we use browser localStorage to save your theme preference (light/dark mode). This data stays on your device and is not transmitted to our servers.
  • Consent preference: we store your analytics choice, the policy version, and decision/expiry dates in localStorage for up to 180 days. This record has no visitor identifier and is not transmitted to Open Limo.
  • System fonts: our website uses fonts supplied by your device and does not request font files from third-party font providers.
  • Google reCAPTCHA: our forms load Google reCAPTCHA after you interact with a form, such as focusing a field or opening a form dialog, to prevent spam and abuse. reCAPTCHA may collect your IP address, browser type, and interaction data. See Google's Privacy Policy for details.
  • Google Analytics: we use Google Analytics 4 with advanced Google Consent Mode v2 to measure page views and basic engagement. If you accept analytics, we also send a limited event when a lead-form dialog is viewed, when you first interact with a lead form, and when our server confirms a successful contact, demo, or account request. These events contain only an allow-listed form category and never contain or derive from your submitted name, email address, company details, fleet size, message, reCAPTCHA token, or another direct identifier. We do not send raw or hashed form values, and we do not configure Google User-ID or user-provided-data collection. Before you choose, and when analytics storage is denied, no custom lead-form event is sent. Google may still receive limited cookieless page-measurement requests that include the denied consent state, timestamp, coarse browser/device information, IP address in transit, and a page/referrer URL from which fragments, email-shaped path or campaign values, and non-campaign query parameters have been removed. We configure Google not to create or read analytics or advertising cookies in this state and enable ads-data redaction.
  • Analytics cookies after acceptance: if you accept analytics cookies, Google may set first-party cookies named _ga and _ga_* to distinguish visits. These cookies expire no later than 390 days after the most recent consented visit.

We do not currently install advertising or remarketing tags. The Google consent signals for advertising storage, advertising user data, and advertising personalization remain denied regardless of your analytics choice.

You can accept, reject, or review analytics storage through the banner on your first visit. You can later withdraw or change your choice using Cookie settings in the footer. Withdrawing analytics consent updates Google immediately and removes recognized first-party Google Analytics cookies from this site. A material change to these purposes or vendors will require a new choice.

11. Children's Privacy

Our Service is not directed at individuals under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected personal data from a child under 16 without parental consent, we will take steps to delete that information promptly. 12. Security

We implement industry-standard technical and organizational security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:

  • Encryption of data in transit (TLS/SSL) and at rest
  • Access controls and authentication mechanisms
  • Regular security assessments and monitoring
  • Employee training on data protection practices

While we strive to protect your personal information, no method of transmission over the Internet or electronic storage is completely secure. We cannot guarantee absolute security, but we are committed to maintaining appropriate safeguards.

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors. When we make material changes, we will:

  • Update the "Last Updated" date at the top of this policy
  • Notify you via email or through a prominent notice on our Service
