Set up tenant access and your team

Start in the correct operating company, confirm administrator access, and add your Back Office team.

A tenant is your company’s OpenLimo workspace. It contains your company settings, customers, fleet, drivers, and bookings. Your sign-in may give you access to more than one tenant; the profile screen calls them Organizations.

Before you start

Have your Back Office sign-in address and an administrator login for the company you are setting up. Tenant provisioning happens before these Back Office steps. If your company has not been created, ask your OpenLimo onboarding contact or administrator to arrange it and grant your email access.

A fleet or a location within an existing company is different from a new tenant. Use the company setup guide for locations and the vehicle setup guide for fleets and services.

Confirm your tenant

  1. Open the Back Office address supplied for your company and sign in with your own email. Complete any invitation or security steps presented during sign-in.
  2. Select your profile icon at the bottom of the navigation to open My Profile.
  3. Find Organizations and check Active organization. If you have access to several companies, choose Switch and select the one you intend to configure.
  4. Open Settings → Company Setup. Check that Company Name belongs to that organization before adding records.
  5. If Platform Terms requires review, have an authorized company administrator use its review action and complete the displayed process.
  6. Open Studio from the main navigation and confirm that you can access the intended company’s pricing workspace. Confirm the company again whenever you switch between tenants or products.

Repeat the setup journey separately for each tenant you operate. Do not assume that a vehicle, driver, or customer entered in one company has also been set up in another.

Add your Back Office team

  1. Open Settings → Team & Permissions and choose Add User.
  2. Enter the person’s First name, Last name, and Email. All are required.
  3. Select the appropriate Role: Admin, Manager, Dispatcher, CSR, or Billing. Choose the role that matches the person’s work.
  4. Save, then have the person complete their sign-in and confirm they can open the areas they need.

These are staff logins. Customer billing accounts belong in CRM → Customers, passengers in CRM → Individuals, and drivers in Fleet → Drivers.

You are ready when

Your profile shows the correct organization, Company Setup opens for that company, and the people responsible for dispatch, pricing, and billing can access their areas using their own logins.

If you get stuck

  • The organization is missing from Switch: ask an administrator or your onboarding contact to check your membership. Creating a customer or fleet will not create tenant access.
  • A setup page is unavailable: have an administrator review your role and the company’s enabled features.
  • An add button reports a plan limit: ask your administrator to review the tenant’s plan and capabilities before adding more records.
